Overall Responsibilities: Coordinate the greeting, registration, initial orientation and referral of customers into the PA CareerLink® Lebanon County. Liaison for PA CareerLink® Partners and service delivery programs offered through the PA CareerLink® system.

Reports to: PA CareerLink® Site Administrator


  1. Serve as the initial connection between PA CareerLink® visitors and customers and the PA CareerLink® Team.
  2. Greet visitors promptly & directly by providing PA CareerLink® information in a knowledgeable & pleasant manner.
  3. Maintain working knowledge of all PA CareerLink® partner programs and registration/enrollment requirements
  4. Assist customers with sign in and completion of registration forms, etc.
  5. Record new customer demographics and information.
  6. Complete duties such as data entry, filing, copying, faxing, responding to emails, etc.
  7. Coordinate scheduled appointments, events, and workshops daily for all partners.
  8. Maintain open and continued communication with partner supervisors to ensure proper customer service flow. Provide administrative support to program partners as directed by Site Administrator.
  9. Maintain PA CareerLink® events in CWDS/PA CareerLink® website ensuring accurate information and registration information is maintained
  10. Serve as first contact for all local employers interested in recruiting within PA CareerLink® facility. Maintains employer database for Business Service Team members and ensures PA CareerLink® website registration is completed before recruitment is scheduled.
  11. Handle all facility room requests and scheduling under supervision and approval of Site Administrator
  12. Attend and maintain minutes for Service Delivery, Safety, Business Service, and PA CareerLink® staff meetings
  13. Direct all visitors and customers to appropriate destinations within facility.
  14. Assist Site Administrator with monitoring of customer flow processes; provide feedback and suggestions, document areas of improvement, and develop innovative customer centered designs for future implementation
  15. As needed, assist customer with registration on PA CareerLink® website, evaluating their immediate job search & or training needs and referring the customer to the appropriate PA CareerLink® Staff member for additional placement/referral.
  16. Provide program statistics to monitor customer activity and program outcomes.  Provide reports as needed, both internal and external. Track foot traffic and customer demographic information.
  17. Create informational documents for clients.
  18. Ensure inventories are at appropriate levels and coordinate supply order needs with site admin.
  19. Answer PA CareerLink® multi-line telephone system: answers general inquiries or provides prompt accurate transfer of messages & information from front desk to appropriate PA CareerLink® Staff.
  20. Help customers with resume and job search functions as needed
  21. Ensure reception area is organized and accessible and assist with streamlining tasks associated with front desk responsibilities as coordinated by the Site Administrator
  22. Maintain knowledge of common Unemployment Compensation questions and refer customers to appropriate staff.
  23. Must be willing to train and supervise community service/interns/junior staff on functions of front desk
  24. Develop accurate and efficient filing methods for a variety of reports.
  25. Perform other duties as may be assigned.

  • Able to educate public & employers about PA CareerLink® using a knowledgeable & tactful manner.
  • Proficient in answering a busy multi-line phone system.
  • Hands on experience with office equipment.
  • Proficient in the use of computers and Internet.
  • Proficiency with Microsoft Office Suite, Adobe Acrobat, Google Mail, and Google Calendars.
  • Able to work in a fast-paced team setting with independent job requirements & demonstrate initiative.
  • Ability to prioritize and determine when to elevate customer situation to next level of management
  • Handle sensitive information in a confidential manner.
  • Willingness to learn continually, accept direction, and adapt to a constantly changing environment

Experience & Training Qualifications:  High School Graduate or equivalent. Bilingual ability preferred.
